EACS Estate Access Control System

EACS is a secure, cost effective estate access management solution that is being used by a number of prestigious estates. It provides an holistic solution to estate management, as it does not only provide for easy, secure access control to an estate, but it also allows for the automated administration of estate affairs, including the tracking of levy payments, provision of reports, statistics and various bulk communication methods.

The best part is that EACS can reduce the traditional costs associated with estate access (e.g. telephone costs) with thousands of rands per month!

Features

The base workflow system

The base workflow system manages the data of the stands and residents in the estate. Details of a particular stand are captured, and multiple residents can be added to the stand’s data as needed. The detail view of the stand displays a history of all visitors to that stand, as well as photos per visitor if the system is used in conjunction with a camera monitoring system (e.g. Geovision). Visitor access control

Visitor access control

Residents phone the guardhouse when they want to book visitors. In the guardhouse, an operator captures the visitors’ details against the resident’s stand. The resident needs to verify his identity to the operator via a password and confirm personal information. A specific “secret question” can be added to the system for higher security, e.g. “what is the resident’s maiden name?”

When a visitor arrives, the guard verifies that the visitor is booked for that day. If the visitor is booked, the guard takes a bar-coded card and scans it against the visitor’s entry details in the system. Alternatively, the guard can manually enter a serial number from a card. The guard then hands the card to the resident, and either the guard or resident press the button to open the boom.

Resident access control

Residents’ details are added to a stand in the system. Residents can gain access to the estate via a fingerprint-reading system or through the use of proximity cards.

Contractor access control

Contractors’ details are added to a specific stand. The operator enters a valid start date and end date to ensure that there is no unauthorized access by contractors. Contractors and their labourers are assigned proximity cards to be used on entry to the estate. These cards can be kept on-site to ensure that they don’t get lost or misplaced. When the contractors arrive, their cards and those of their labourers are scanned and handed to them. The booked visit will only be closed once the contractor and all his/her labourers have been booked out of the system. This allows the contractor to leave labourers at the stand and later re-enter the estate to pick them up again. The system keeps track of the exact times the contractor and labourers enter and leave the estate and stores photos of the events.

Domestic worker access control

Domestic workers are registered to a particular stand. Each domestic worker is assigned a proximity card, which is scanned upon entrance to the estate. Access is controlled by specifying valid access days and times. When the domestic worker leaves the estate, the card is scanned again. A report is included which specifies which domestic workers are currently in the estate, as well as the history for any given stand’s domestic worker activity.

Visitor and contractor booking via SMS

Residents can book their visitors via SMS. A message is sent to the SMS software in the guardhouse containing the resident’s password, the names of the visitors and the date of the visit. The software then responds to indicate whether the booking was successful or not.

Visitor and contractor booking via a website

Residents are able to log onto a website where they can book their visitors. They also have access to a record of their previous visitors.

Reports

The reporting module can be changed to accommodate any report required by management. (The price of the system includes 3 custom reports that can be specified by the client).
